Below is a email from Dave. Because this is a military operation ALL people involved MUST have a military clearance background check done 2 wks prior to the event.

Those of you wanting to participate need to P.M. me your:
Full Name
Address
Date of Birth
Drivers LIcense Number

Also include what kind of piece of cooking equipment you will be bringing.
Please do this ASAP.

because this is an active Military Installation, everyone that is entering the base has to be cleared before they are allowed on the base. We have up to 2 weeks before the event, to add names.

The Security Officer is asking for:
1. Full Name
2. Date of Birth
3. Drivers License Number.

If I could also have a phone number for each person, and an e-mail address, so I can get in contact with them, to discuss this event.

When we enter the base, we'll do it as a group. There will be one entrance time Friday night, 2 entrance times Saturday morning. My Family and friends will have a small army of volunteers there to help on Saturday.

Plan is, the smokers and overnight helpers will be on base about 7 pm on Friday. They will remain through the night (just like a contest). We'll be cooking about 1200 pounds of Beef Briskets and Pork Butts. We'll start prepping the meat around 9 pm. Plan is to be done with most of the meat by 9 am, put them in ice chests to hold them, and get the beans prepped and in the smokers to cook. (This is when we'll need the morning crews help) We'll also be cooking 3- 80 pound batches of Dirty Rice in the large pot. I'll have a large propane grill there, to cook 240 hot dogs for the kids. We'll need all the smokers and ice chests to hold the product till the 12;30 serving time.
We'll have 4-5 serving lines, with a volunteer for each item ( or 2) .... (buns, beef, pork, hot dogs, cole slaw, beans, dirty rice) We'll have runners to keep the food lines filled. We should be able to get all 1500, through the serving line in 45 min or so.

My Family in Michigan, organized a Road Rally Fundraiser, that was held on May 1st.
They worked very hard, and it was a fantastic success. They raised $3,900 to help fund this BBQ. I am still working on getting additional donations, we also have to supply drinks.
If anyone knows where we can get some help, please let me know.

I can't make that entrance time on Friday evening and Saturday I have a family gathering.

I don't know about bringing your "mobile kitchen" onto the base, my first guess would be probably not. They would have to perform an inspection on it and clear security.

Since this is NOT a GLBBQA event and we are assisting the event holder, The National BBQ for our Troops organization I would rather have information on those ONLY who are FOR SURE they are going. I do not want to confuse the issue. There is alot to do and the organizer needs to know specifically what he has to work with.

When my daughter graduated from basic training at Fort Leonard Wood in Missouri, we took pics all over the base with no problem.

Got a email back from Dave. All participating please read:

Been real busy working on getting donations.
Also trying to tie up the loose ends for the BBQ for 850 down here in Ohio next Wednesday, June 9th.
Please give anyone my e-mail address and phone number (below) that asks.
Please pass this e-mail to everyone.
I will send out a more e-mail to everyone I have an e-mail address for, next week, and I'll talk to all the cooks and smokers on the phone to verify everything.

Basic Schedule for Battle Creek, (subject to change by the Military...lol):

Menu:
600# pork Butts
600# briskets
100# dirty rice
26 #10 cans of beans
240 hot dogs
80 # cole slaw

Friday night 6-7 pm, the smokers and overnight crews will enter the base and set up.
We'll start prepping and cooking around 9.
Saturday Morning volunteers will arrive at 8-9 am.
Meat will be wrapped and pulled out of some smokers around 9 am to give room for
beans to cook. We'll start the first of 3 batches of dirty rice at 9:30 am.
Serving Tables (5) will be set up by 10 am. (Tables, serving utensils, plates, forks
etc. not food) 10 am we'll start pulling the pork and slicing the brisket, and putting
them back in the smoker/warmers. Hot dog grill will start at 11 am.
Lunch is served starting at 11:30

I am willing to come Friday evening to help with the cook. So far, no one has indicated that help is needed Friday night. So unless I hear from someone here, my daughter and I will arrive Saturday morning to help serve.

I am really looking forward to this opportunity to say Thank you to our troops!

we need to make a copy of those requests for who ever is in charge this year. Last year we spent allot of time waiting for the head honcho to quit chasing her tail.:D

Hopefully we'll be able to keep our vehicles near the smokers to get supplies and firewood.

I have to again emphasize that Dave Waun from BBQ for our Troops is in charge of this years event and our organization is just assisting theirs. His email from this morning does indicate you can email him or call him.
Please make sure you contact him so there is no miscommunication. Things can get messy at the last minute like Dan mentioned.
Good point about the smokers and vehicles Dan, something you should ask Dave about if he has even been given that info from the Military.

I sent the guy an email 2 months ago asking him a question about the donations and he still hasn't responded. My excitement of donating money to that organization went way down.

Looks like I am free that Saturday now. I guess I will have to practice or go to the GR Grill off.

He is supposed to be e-mailing us this week but it's almost over. All I want to know is what to bring and to make sure it's still going on........Do they provide everything? All I need is my cooker and wood or is it our spices, pans, foil? This is almost scary with so little knowledge of what's happening. I'm looking forward to it, just wish we had some more info. I've e-mailed him also and I know Jerry did as well.

I talked to him on the phone yesterday. He was in the middle of a cook for troops in Ravenna, OH. He said he'd be getting back with folks after the cook was finished, so I would expect that he would be in contact today or tomorrow....

I don't know him at all- I needed info on the org for my meeting.

Dave knows his stuff, he does this almost full time on a minutes notice sometimes. They travel all over. Dealing with the military isn't easy, they will not give you leeway or specifics on alot of things for security reasons.
If you want to bring your own seasonings and some pans I am sure Dave would appreciate it, otherwise he should have everything except bodies and smokers unless he says different.
There used to be a good group of guys on the National BBQ News site that did troops bbq all over the U.S., its a respected organization.

Dave called me yesterday and I got an e-mail today with all the details:

Everyone,

Thank you in advance for your Help.

We are around 68 volunteers for this "BBQ for our Troops" event at Ft Custer. Sorting through all the e-mails and making sure everyone is on the list has taken much more time than I ever anticipated. Those of you who are bringing a smoker, a double thank you!!!
Please bring your fuel of choice for your smoker. If possible, please bring your pop-up tent, a table to work on, your knives, coolers to use as holding warm boxes, the things you would need for a contest. Don't forget a comfy chair to sit and sleep in. (And warm clothes/blanket for the middle of the night) If you don't have something, we'll be able to share. I am planning for no electricity, so I'll have a lantern, though I believe we' will be able to access some power. (Ford, we will have at least power for your FE's) Please bring some type of Battery powered light or lantern, in case we need it. I try to travel with everything we may need, because at the Ravenna, Ohio BBQ's we have had, no power or running water in the past. Please assume we will have no "luxury's" just in case.

I'm going to try to be at the base by 7-7:30 pm Friday night. It will give us some time to set-up and get familiar with everyone. Hopefully we'll be starting the fires around 9. We'll get the meat in the smokers by 10:30. (600# Pork, 600# Briskets) Approx. 5 am, I wrap the meat in foil, and put it back to finish cooking. With the amount of meat we'll be cooking, it helps keep the juices in the meat, keeps it from falling apart on the racks if it gets overcooked, gives me a chance to handle each piece to determine if it needs to be moved, and it will then be ready to pull out of the smoker and placed in coolers. About 8 am, we can move meat ready to slice and pull to our ice chests, and make room for the beans. I have a special recipe for the beans, (secret ingredient is peach pie filling, shhhh..don't tell anyone) we'll have 16-18 full size foil pans with beans to cook. I have a large "cauldron" that we'll use to make 2 80# batches of dirty rice. We'll start prepping for that at 8 also. We should have an Army of Volunteers arriving between 8 and 10 am. They can help us finish prepping the beans, and start setting up the 4 or 5 serving lines and tables. We'll have 2,000+ drinks to move also. I have a propane grill we'll set up for cooking 240 Beef Hot Dogs for the kids.

We are serving lunch for about 1,500 at 11:30. Remember, we are there to serve, honor and thank our Soldiers, and their Families, for their service to our Country. Remember, these Soldiers have volunteered to serve our Country and us, and their Families are also making a huge sacrifice as a result.

In advance, I'd like to thank all of you. This event is only possible because of your help.

Things are crazy but GREAT!
Today I scored a donation of 2,500 bottles of water, and a Refrigerated truck to keep them cold. Tall about last minute!!!!!
I wrote everyone I had e-mail for, I am concerned there are some that didn't get the information.
